Responsibilities / Position overview

The Speaker Bureau Manager is responsible for:

  • Overseeing and supporting all aspects of speaker bureau programs.
  • Provide support to assigned clients as needed and requested including providing reports and creating presentations for data.
  • Review speaker expenses and honoraria submissions, ensuring accurate processing and timely payments through accounting.
  • Oversee program coordinator communications, addressing compliance or program-related issues promptly.
  • Support program coordinators with daily tasks and ensure smooth program operations.
  • Review and confirm all contracts are populated accurately with approved Fair Market Value (FMV) rates and reflect any updated honorarium and expense guidelines for speaker contracting.
  • Prepare agendas, lead calls, and provide recaps for all weekly client status meetings.
  • Complete bi-monthly revenue recognition for all active programs.
  • Conduct monthly reconciliations for all speaker bureau programs, verifying financial and contract accuracy.
  • Update aggregate spend records in the system or spreadsheets.
  • Generate and review monthly reports for client and internal review.
  • Additional ongoing/as needed tasks.

Qualifications

  • Proven experience in managing or coordinating speaker bureau programs.
  • Strong organizational and communication skills.
  • Exceptional attention to detail, especially in contract management, and ability to manage multiple programs and tasks simultaneously.
  • Proficiency with program management and compliance tracking software.
  • Ability to work collaboratively with cross-functional teams in a fast-paced environment.
