Responsibilities / Position overview

We are seeking a Contract Coordinator to support our Client Services team within our Medical Communications team. The Contract Coordinator supports core business projects and assists the account management teams by facilitating the execution of contracts between our clients and thought leaders and serving as of point of contact for client interactions to ensure the successful movement and completion of these contracts.

 

  • Act as the primary Intake Coordinator for all contract-related requests.
  • Route contracts for electronic signatures using DocuSign and manage completion status.
  • Log and file documents and update the tracking sheet accordingly.
  • Maintain organized, accurate, and confidential digital records of all executed contracts and supporting materials.
  • Perform first-pass reviews to ensure forms are complete, required documentation is attached, and c information aligns.
  • Coordinate with internal stakeholders to obtain missing documents.
  • Initiate background checks and ensure all are completed on-time; alert stakeholders of any issues, unsuccessful background checks, etc.
  • Monitor, triage, and respond to incoming emails in a timely, professional manner.
  • Send weekly follow-ups for open requests and executed contracts not received.
  • Maintain tracking sheets.
  • Respond to general inquiries or escalate complex issues to appropriate team members.
  • Communicate directly when email is insufficient, especially in follow-up scenarios.

Qualifications

  • 2+ years of administrative or coordination experience.
  • Detail-oriented with strong organizational and time management abilities.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Intermediate proficiency in Outlook, Microsoft Teams, Excel, and SharePoint.
  • Familiarity with DocuSign or similar electronic signature platforms.
  • Comfortable working across teams and levels, with excellent communication and follow-up skills.
  • Proactive, resourceful, and able to work independently
